Importing Data

Overview

 

Click on the Attachment icon on the toolbar, to download PowerPoint overviews on importing data into Attache and Fixed Assets, and templates to help you with your imports.

 Below are the key points to note when using the workbooks:

·         You need to enable macro’s

·         The Validation messages are based on the data entry rules form Attaché Accounts and adhere to the other information in the guide.

·         Each column heading has a comment which relates directly to the appropriate field help from the software.

·         The first step you should do before validating the data is sort the data by the code field so that there are not blank records mixed with the real data.

·         The Validation process can be run as many times as necessary until you are happy with the results.

·         Some messages, for example the Fax Number should begin with a +, can be ignored as they are more warning than error messages.

·         Other messages relating to the length of fields can be ignored as when the KFI is created, these fields will be truncated to the appropriate length.

·         Some fields, for example the Taxable and Account Type fields on the Customer Masterfile, if left blank will be automatically filled and a message will be placed in the Validation sheet.

·         Some validation message should not be ignored, especially ones about invalid ABNs, this will cause the KFI to fail.

·         A suggested method of dealing with the validation messages is to sort them by the message first.

·         If you end up with only validation messages that can be ignored, simply clear the contents of the cells on the validation worksheet as the workbook will not allow you to create the KFI file if there is anything on this sheet.
